Privacy Notice
Last updated: 28 October 2026
This explains how we use personal information when you browse our site, enquire about a booking, join our updates, use Projects or Consult, or contact us.
Who is responsible for your information?
DJ Em is operated by TRUST THE DJ LIMITED. We are responsible for the personal information used to run djem.uk, manage our customer relationships and provide our services. This notice also covers the DJ Em Website Notifications app used for internal WhatsApp alerts.
For privacy questions or requests, email djem@afrobeatnotts.com. Please include enough information for us to find the relevant account, enquiry or transaction, but do not send passwords or full payment-card details.
Information we use
Contact and account information: your name, email, telephone number, organisation or brand, account identifiers, sign-in and verification records, and your communication preferences.
Bookings and events: the details you give us about an event, such as its date, venue, location, attendance, budget, performance requirements and music preferences. If you sign up for event updates, we also use the interests and other optional information you choose to provide.
Projects and Consult: your workspace, requests, briefs, messages, materials you provide, quotes, approvals, deadlines, delivery records, subscription or credit information, and cancellation or refund correspondence.
Payments: amounts, currency, transaction and invoice references, payment status, subscription status, and refund records. Stripe processes online payments; payment-card details are entered into Stripe’s payment service rather than into your project brief or support messages.
Technical and service records: IP address and browser or device information, session and security records, cookie choices, website interactions where analytics is permitted, and notification identifiers, timestamps and delivery results.
Most information comes from you. We also receive relevant details from a person arranging work or an event on your behalf, members of your workspace, and payment or messaging providers confirming a transaction or delivery. Please only give us someone else’s information where you are entitled to do so. Avoid including sensitive personal information in open-ended briefs unless it is necessary and agreed with us.
Why we use it
To respond to an enquiry, prepare a quote, manage an account and deliver paid work or a booking, we use the information needed to take steps at your request or perform our contract with you. If you are acting for a business, we also rely on our legitimate interest in managing that business relationship.
To keep the site secure, prevent misuse, maintain accurate service records, handle complaints and make sure requests reach the right person, we rely on our legitimate interests in running a reliable service and protecting our business and customers. Internal email and WhatsApp alerts support that work.
For financial records and responses to lawful requests, we use information to meet our legal obligations. Where needed, we retain relevant records to establish, exercise or defend legal claims.
For optional marketing and analytics, we use your consent where required. We may use the interests and event preferences you have shared to make opted-in updates more relevant. You can change your choices or withdraw consent without affecting the lawfulness of earlier use. Operational messages about your account, purchase or request are separate from marketing.
Fields marked as required are needed to process the relevant request or provide the service. If you do not provide them, we may be unable to proceed. Optional marketing choices are not a condition of buying a service. Our notification and payment-status automation does not itself make legal or similarly significant decisions about you.
WhatsApp admin notifications
DJ Em Website Notifications is an internal alert service. When enabled, it tells DJ Em that a booking enquiry, work request, payment, client message, quote response or cancellation-review request needs attention. It does not automatically subscribe clients to WhatsApp marketing.
The alert contains an event type and a request, enquiry, ticket or payment reference, with a link to the staff area. The configured templates do not include your full brief, message text or card details. The reference can be linked to your record by authorised staff.
Meta/WhatsApp processes the designated staff recipient’s telephone number, the alert content, message and account identifiers, and delivery information. Our site records notification attempts and sent, delivered, read or failed status updates so we can investigate problems and avoid duplicate alerts. If you choose to contact us directly through WhatsApp, the information you send is also processed by WhatsApp under its own terms and privacy notice.
Processing outside the UK
Our providers operate internationally, so information may be processed outside the UK, including in the United States and the European Economic Area. The applicable provider arrangements use recognised transfer protections where required, such as adequacy arrangements or contractual safeguards with UK provisions.
GoDaddy explains its UK transfer arrangements in its European privacy notice. Stripe’s Data Transfers Addendum describes its Data Privacy Framework and UK contractual arrangements. WhatsApp’s business terms incorporate its applicable UK data-transfer addendum. Links are provided below. You can also contact us for information about the safeguards relevant to your data.
How long we keep information
Retention depends on the purpose and type of record. We consider whether your enquiry is still active, whether an account or service is ongoing, the need to document completed work and payments, and any outstanding complaint, refund, dispute or legal record-keeping requirement.
Technical and notification records are kept for as long as needed to investigate service problems, maintain security and evidence delivery. We retain a limited record of marketing opt-outs where needed to respect your choice. Closing an account does not automatically remove records we must keep for these other purposes; we can explain what applies to a particular record when you contact us.
Your choices and rights
Depending on the circumstances, you can ask to access or correct your information, receive a portable copy, restrict its use or have it erased. You can withdraw consent where we rely on it. These rights can be subject to exceptions, including records needed for legal obligations or claims.
You have the right to object to direct marketing at any time. You can also object to processing based on legitimate interests for reasons relating to your situation. Use Email Preferences, an unsubscribe link where provided, or email us. We may need to verify your identity before acting on an account or data request.
If you are unhappy with how we handle your information, please contact us. You can also complain to the UK Information Commissioner’s Office at ico.org.uk/make-a-complaint. You do not have to contact us first.
Request account or app-data deletion
Email djem@afrobeatnotts.com with the subject “Data deletion request”. Tell us which account, service or transaction the request concerns and the email address or telephone number associated with it. For data relating to DJ Em Website Notifications, name that app in your request. Do not include a password or access token.
We will check your identity where necessary, review the information we hold and explain what can be deleted or anonymised and what must be retained, with the reason. This request covers data held by DJ Em; information independently held by Stripe or Meta/WhatsApp is also subject to those providers’ own rights-request processes.
